At Compliance Manager Plus ("Compliance Manager Plus", "CMP", "we", "our", or "us"), we are committed to providing a reliable and secure Audit & Compliance Management Platform for organizations of all sizes. This Refund Policy explains how subscription cancellations, billing, and refund requests are handled for purchases made through our Services.

By purchasing or subscribing to Compliance Manager Plus, you agree to the terms outlined in this Refund Policy.

1. Subscription Services

Compliance Manager Plus is offered as a subscription-based Enterprise Audit & Compliance Management SaaS Platform. Depending on the selected subscription plan, customers receive access to features that support the complete audit lifecycle, including user & role management, audit planning & scheduling, audit execution, audit templates & checklists, evidence management, non-conformance (NC) management, corrective & preventive actions (CAPA), dashboards & analytics, notifications, PDF & Excel reporting, offline audit mode, and enterprise security features. Access to these features depends on the selected subscription plan.

2. Billing

Subscriptions may be billed on a monthly or annual basis, depending on the plan selected during purchase. Subscription fees are charged in advance for each billing cycle. Applicable taxes may be added where required by law. Invoices and payment confirmations are generated automatically after successful payment.

3. Automatic Renewal

Unless cancelled before the renewal date, subscriptions automatically renew for the same billing period using the payment method on file. Automatic renewal ensures uninterrupted access to your organization's audit records, dashboards, reports, and subscription features. You may disable automatic renewal at any time before your next billing date.

4. Cancellation Policy

You may cancel your subscription at any time. When you cancel your subscription:

  • Your organization will continue to have access to all subscribed features until the current billing period ends.
  • Future subscription renewals will not be processed.
  • Your audit records and organizational data will remain available during your active subscription period.
  • Once your subscription expires, access to paid features may be suspended or limited until the subscription is renewed.

Cancelling a subscription does not automatically entitle you to a refund.

5. Refund Eligibility

We understand that exceptional situations may arise. Refund requests are reviewed individually and may be approved where appropriate or where required by applicable law.

Refund requests may be considered in situations such as:

  • Duplicate payments.
  • Incorrect billing caused by a system error.
  • Unauthorized transactions verified by our investigation.
  • Extended platform unavailability caused solely by our systems.
  • Other exceptional circumstances reviewed by our support team.

All refund requests must include sufficient information to help us investigate the issue. Approval of a refund remains at our sole discretion unless otherwise required by law.

6. Non-Refundable Charges

Unless required by applicable law, refunds will generally not be issued for:

  • Partial subscription periods.
  • Unused portions of a subscription.
  • Failure to cancel before the renewal date.
  • Change of mind after purchase.
  • Failure to use the platform.
  • User training time.
  • Custom implementation or onboarding services.
  • Optional professional services.
  • Subscription downgrades after the billing period has begun.
  • Violations of our Terms of Service that result in account suspension or termination.

7. Upgrades and Downgrades

Plan Upgrades

If you upgrade your subscription during an active billing cycle, any additional charges or prorated billing adjustments will be calculated according to our billing system and payment processor. Your upgraded features may become available immediately upon successful payment.

Plan Downgrades

Downgrades typically take effect at the start of the next billing cycle unless otherwise stated. Downgrading your subscription does not entitle you to a refund for the unused portion of your current subscription.

8. Failed Payments

If a payment cannot be processed:

  • We may attempt to collect payment again using the payment method on file.
  • Access to certain features may be limited until payment is successfully received.
  • Continued payment failure may result in suspension or termination of your subscription.

You remain responsible for all outstanding subscription fees incurred before cancellation or termination.

9. Taxes

Where required by law, applicable taxes, including VAT, GST, sales tax, or similar charges, may be added to your purchase. Taxes are calculated according to applicable laws and regulations. Taxes already paid are generally non-refundable unless required by law.

10. Chargebacks and Payment Disputes

If you believe a charge was made in error, we encourage you to contact our support team before initiating a chargeback with your payment provider. Initiating an unjustified chargeback may result in temporary suspension of your account, restriction of future purchases, investigation into the disputed transaction, and recovery of outstanding amounts where legally permitted. We will cooperate fully with Paddle and the relevant financial institutions during any payment dispute.

11. Data After Subscription Expiry

Following subscription expiry or cancellation:

  • Access to paid features may be restricted.
  • Audit planning and execution capabilities may become unavailable.
  • Dashboards, reports, and administrative functions may be limited.
  • Customer data may be retained for a limited period in accordance with our Privacy Policy and applicable legal requirements.
  • After the applicable retention period, data may be securely deleted unless retention is required by law or agreed under a separate contract.

Organizations are encouraged to export any required reports or data before their subscription expires.

12. Compliance with Applicable Laws

Nothing in this Refund Policy limits any rights that customers may have under applicable consumer protection or commercial laws. Where local legislation grants mandatory refund rights, those legal rights will prevail over this policy.

13. Changes to This Refund Policy

We may update this Refund Policy from time to time to reflect changes in our services, billing practices, or legal requirements. The latest version will always be available on our website, and the "Last Updated" date will indicate when changes were made. Continued use of the Services after changes become effective constitutes acceptance of the revised Refund Policy.
